IT Assistant and Child Sponsorship Coordinator

- This position will report to IT Manager:
Purpose of the position:
To support and maintain the day to day operations of World Vision’s Information Technology System. To ensure that WVL’s all IT Help Desk are maintained efficiently, with cost effective and provide consistent and reliable service levels.
Major Responsibilities:
1. Primary responsibility is user support and service. Be present and visible in the Help Desk and available to users requiring technical assistance.
2. Respond questions from callers and walk-ins, assist staff with technology problems in office.
3. Learn fundamental operations of commonly used software, Hardware and other equipment.
4. troubleshoot computer problem
5. Accept general responsibility for the IT assets and ensure that it is ready for use; stock paper and toner in printers, restart-frozen computer, etc.
6. Enforce all WV IT policies.
7. Become familiar with the available help resources, stay up date on campus technology changes or problems.
8. Direct calls and forward e-mail to appropriate WV Lao IT staffs as necessary.
9. In charge of Daily Back up at NO when person taken responsibility is absent.
10. Being always punctuality for daily work.
11. Document resolutions for future reference.
12. Carry out any additional responsibilities as assigned by the IT Manager/Finance & Admin Director.
13. Attendant and participate in weekly devotion.
Educational Qualification: Formal schooling, self-education, and prior experience, on the job training or special training provided by the organization, may acquire the following knowledge.
Professional Experience: At least two years experience as IT or in similar roles.
2. The position of Child Sponsorship Coordinator:
-This position will report to Team Leader:
Purpose of the position:
To manage and provide leadership to Child Sponsorship department and team at Savannakhet office and ADP in World Vision Laos (WVL) This will include, but not limited to, providing training and coaching to staff in regard to
all Child Sponsorship matters; ensuring that the required Child Sponsorship administration mechanisms, standards, and guidelines are in place and functioning well. Ensure Child Sponsorship ministry is performing according to World Vision Partnership standards, and all other aspects of the work is efficient at all time.
Major Responsibilities:
1. Provide leadership, support and coaching to Child Sponsorship team in WVL and manage administrative function of Sponsorship that links between Sponsors, Children/Communities; and oversee day-to-day functions of the
department, and monitor and evaluate all aspects of the sponsorship works at all levels.
2. Develop action plan, working strategy to ensure high quality performance of Child Sponsorship Team in Savannakhet.
3. Manage and facilitate sponsorship production activities to ensure that the team understands operations and Child Sponsorship planning for Child Histories (CH). The CH is coordinated and sent to National Offices on
time to meet the target number with a highest quality standard.
4. Plan and manage Child Sponsorship Teams: Log-frame, Progress Monthly Management Report, CH management Report, evaluation and monitoring child sponsorship performance, budget, budget mid-year-review, and
expenditures.
5. Plan and coordinate with ADP, provincial operations team leaders to design the Annual Child Progress Report (APR), Annual Greetings Card and submit to the Support Offices for comment and approval three months before
printing deadline.
6. Identify and develop Child and Sponsor Relations functions, as needed by reality in World Vision Laos as well as National Offices requirements.
7. Identify the needs and develop plan to conduct adequately Child Sponsorship training, refresher training, and workshop/conference for Child Sponsorship team at all levels in WVL as well as relevant ADP staff and
counterparts.
8. Cooperate to ensure that all sponsor visits have successful visit the sponsored child/family and ADP according to Sponsor visit guideline and abide by WVL and WV Partnership ‘Child Protection’ policy and protocols
9. Conduct annual Staff performance appraisals and development review; and identify need for training and development.
10. Review and make follow up to ensure that all Child Sponsorship policies, standards and procedures in WVL are being correctly implemented and up-to-dated.
11. Ensure the Child Management Standard (CMS) and Multiple Sponsorship Standard (MSS) are implemented and operated well in each ADP, and reports are regularly consolidated for National Office.
12. Work with sponsorship team to ensure that all Child Sponsorship Systems (SD, CCP, Non- SD, STEP, CPI, CMS, etc) are installed, maintained, updated regularly, appropriately function, and technically match with all Support Offices and International Office (I.O) standards and guidelines.
13. Coordinate with all ADP and make sure the child count and annual Census event is conducted appropriately according to the World Vision Partnership schedule and standards; ensure the office receive satisfied result of the child count. Reason must be clearly explained if not meet the standards in order to follow up with provincial team leaders.
14. Assist the team leader/staff to facilitate the Child Sponsorship Introduction and Awareness training and workshop to community, villagers, local government counterparts and authority when there is plan for new sponsorship project start-up.
15. Work with Child Sponsorship team to manage and carry out Child Sponsorship decentralization scenario to ADP level.
16. Liaise with other departments in WVL to maintain good relationship for networking.
17. Take responsibility to assist the team members in solving problems at workplace or personal problems in such circumstances if necessary.
18. Prepare accurately and timely Monthly Management, quarterly Children in Program (CIP), and System Reports to submit to manager, region, and International Office.
19. Carry out other tasks as requested by organization.
Knowledge, Skill and Abilities:
• Educational Qualification: Degree in Management or equivalent in experience is an advantage
• Professional Experience: Five years experience of working in development area
